When do I need to have my hotel room booked by?
As the excitement builds for the 2025 Chicago Pan-Icarian Convention, we encourage you to secure your hotel accommodations without delay, as availability is limited and the demand is sure to soar; booking now not only ensures you a comfortable place to stay but also allows you to focus on enjoying the festivities and connecting with fellow attendees in this vibrant celebration of culture and community.
What are the valid dates for the hotel group rate?
The exclusive discounted group rate of $199 per night for the convention hotel is valid from Tuesday 8/26/2025 through Friday 9/5/2025.
What can I do if one or more nights I plan to stay are "Sold Out?"
Join our Waitlist and we’ll notify you if more rooms become available on the nights you’re interested in. In the meantime, feel free to reserve any nights that are still available. You can always add additional nights to your existing hotel reservation later.
How can I manage my existing hotel reservation?
Visit our dedicated Hotel Reservation page and click on “Manage Existing Reservation” located below the “Make Reservation” button. You’ll need to enter your hotel confirmation number. You can modify or cancel your reservation online until three days before the group arrival. Please contact the hotel at 1-877-303-0104 for changes within five days of arrival.
What consequences are there for canceling my room last minute?
If you cancel your reservation less than 3 days (72 hours) before your confirmed arrival date you are subject to a cancellation fee from the hotel equal to one night’s room rate plus applicable taxes. Additionally, canceling at the last minute shortchanges the hosting chapter’s commitment to the hotel and puts the convention at risk of losing money.
How does one become a delegate for the Supreme Convention?
To become a delegate, you have to be a member of good standing (pay your membership dues that year) and coordinate with your chapter officers.
When must delegates check-in to the registration table by?
All delegates must check-in to the registration table by 6:00 p.m. Saturday.
Do I need to be a delegate to attend meetings?
No, you do not have to be a delegate to attend the meetings, everyone is welcome to attend!
Can I purchase event tickets and merchandise in person / at the door?
Yes, we encourage everyone to purchase tickets in advance but all event tickets and merchandise will be available for purchase at the door.
